Unreasonable Behaviour Policy

Hillgate Management is committed to providing high-quality service to all clients and stakeholders. While we encourage open communication and value feedback, we must also ensure a safe and productive work environment for our staff. This policy outlines our approach to managing unreasonable behaviour.

Purpose

The purpose of this policy is to: Define behaviours that Hillgate Management considers unreasonable Protect our staff from abuse, harassment, and undue stress Ensure fair and equal treatment of all clients and stakeholders Maintain efficient operations and service delivery

Definition of Unreasonable Behaviour

Hillgate Management does not view assertive or persistent behaviour as inherently unreasonable. However, actions that place excessive demands on our resources or negatively impact our staff will be addressed under this policy
Unreasonable behaviour may include:

Aggressive or Abusive Behaviour:

  • Threats or verbal abuse
  • Discriminatory language
  • Derogatory remarks
  • Inflammatory statements
  • Physical violence or intimidation

Unreasonable Demands:

  • Excessive contact (phone calls, emails, office visits)
  • Demanding responses within unrealistic timeframes
  • Insisting on speaking with specific staff members
  • Refusing to accept decisions after explanations have been provided
  • Repeatedly raising issues that have already been addressed

Unreasonable Arguments:

  • Focusing on trivial matters disproportionate to their significance
  • Making unfounded accusations
  • Submitting falsified documents
  • Refusing to cooperate with complaint procedures

Managing Unreasonable Behaviour

Hillgate Management will take the following steps to address unreasonable behaviour: a. Informal Warning: Staff will politely inform the individual that their behaviour is considered unreasonable and ask them to modify it. b. Formal Warning: If the behaviour persists, a written warning will be issued, outlining the unacceptable actions and potential consequences. c. Restrictions: If unreasonable behaviour continues, Hillgate Management may implement one or more of the following restrictions:
  • Limiting contact to a specific staff member
  • Restricting communication to certain days/times or methods (e.g., email only)
  • Terminating abusive phone calls
  • Declining to respond to abusive correspondence
  • Limiting access to our premises
d. Legal Action: In severe cases involving threats, harassment, or violence, Hillgate Management may involve law enforcement or pursue legal action

Review and Appeal

Restrictions will be reviewed after a set period, typically three months. If behaviour has improved, restrictions may be lifted. Individuals have the right to appeal decisions made under this policy.

Hillgate Management is committed to equality and diversity. We will make reasonable adjustments for individuals with disabilities or mental health issues that may affect their behaviour.
